If a referral was declined but you now need to accept it, you can change its outcome directly from the Past tab — no need to resubmit the referral.
Steps
From the sidebar, click Inbound referrals.
Click the Past tab. This shows all referrals that have already been accepted or declined.
Find the declined referral and click its row to open the referral detail.
Scroll to the bottom of the detail panel and click Change outcome to accepted.
The Change outcome to accepted dialog opens. It is pre-set to add the client to the caseload. Fill in the fields as needed (see below), then click Accept referral.
The referral now shows Accepted in the Past tab, and you are recorded as the latest decider.
What you see in the dialog
The dialog behaves slightly differently depending on whether a client and case were created when the referral was originally declined.
If a client and case were recorded at decline — the existing client and case are reopened automatically. You do not need to name a new case.
If no client was recorded at decline — the normal accept flow runs and you will see the full set of fields:
Similar existing clients — if the app finds a matching profile you can link to it instead of creating a duplicate, or choose to create a new client.
Case name — the name for the new case (defaults to "New Case").
Either way, you can set:
Client status — Active, Pre-triage, Waiting, On hold, or Inactive.
Triage status — Not triaged, Low, Medium, or High.
Case colour — choose a colour or leave it on Auto to use the next in the palette.
Assign staff — tick one or more staff members to assign to the case.
Wellbeing measures — select any questionnaire frameworks to open trackers for straight away. Numeric measures can be added later from the case view.
Changing an accepted referral to declined
The reverse is also possible. Open the detail for an accepted referral in the Past tab, scroll to the bottom, and click Change outcome to declined. You will be prompted to select a decline reason before confirming.
