How to save a message to the clinical record

When you send a client a text, an email or a WhatsApp message, you can have Joy file a copy into their GP clinical record at the same time, optionally with a SNOMED code.

This guide is only about that option inside the send dialog. Writing and sending the message itself is covered in How to send a message to a client, and filing notes, wellbeing trackers and referrals back to the clinical record is covered by the existing clinical-systems guides.

Tick the option while you compose

  1. In the Case Management sidebar, select Client cases.

  2. Open the client and select the Outreach tab.

  3. Select Send message and write the message as usual.

  4. Near the bottom of the dialog, tick Save to clinical record.

Two more fields appear.

Add a SNOMED code (optional)

  1. Under SNOMED code (optional), select the search box and type part of a description or an exact numeric code. Joy notes that you can Search the available catalogue by description or exact numeric code.

  2. Choose a code from the results. It appears as a chip, and you can remove it again.

If you leave it empty Joy reminds you Optionally pick a SNOMED code to file alongside this message. — the message still files, just without a code.

Choose where it files

  1. Open Destination.

  2. Leave it on Detect automatically to let Joy use the clinical system already linked to this client, or pick a named system from the list — each is shown as the practice name followed by the system, for example Example Medical Centre - SystmOne.

Use Detect automatically unless you know this particular message belongs somewhere else.

Send and check it filed

  1. Send the message as normal.

  2. Open the message again from the Outreach list.

Next to the delivery badge there is a second badge for the clinical record:

  • Sending to clinical record — queued and on its way.

  • Sent — awaiting confirmation — handed to the clinical system, not yet confirmed as filed.

  • Filed to clinical record — it landed.

  • Clinical record send failed — it did not. Hover the badge to see the reason.

These are two separate journeys: a message can reach the client perfectly well and still fail to file, and the opposite is also possible. Check the second badge, not the first.

When no clinical system is linked

If the client has no linked clinical system and you leave Destination on Detect automatically, the message still sends normally, but the filing fails with Clinical record send failed and the reason No clinical system record matched detection (none). Pick one manually in the attempts queue.

To fix it, either link the client to their practice's clinical system and send again, or pick the destination manually from the failed attempts queue and retry it there. Nothing is lost — the message itself has already gone to the client.
