Record templates are saved headings and text that you can use to prefill an ordinary contact, appointment, note or action on a client's timeline.
This guide does not cover the organisation's structured consultation templates; see How to record a consultation. Documents and clinical codes have their own guides.
Open the template manager
In the Case Management sidebar, select Client cases.
Open a client.
Select the Client record tab.
Select Templates.
The Manage record templates window explains the two scopes:
Organisation templates are available for every client.
This client templates only appear for the client you are viewing.
Each row also says whether it is a text or form template. If there are no templates, the app shows No templates yet.
Create a text template
In Manage record templates, select New template.
Enter a Title.
Under Available to, choose Whole organisation or This client only.
Enter the reusable wording in Content.
Select Save template.
The title is required. Save template stays unavailable until you enter one.
Joy confirms with Template created. The new template then appears in the manager and in the record editor for the clients covered by its scope.
Edit a template
Select the pencil control beside the template.
Change the Title or, for a text template, the Content.
Select Save template.
Joy confirms with Template updated.
A form template can be renamed or deleted here, but its questions cannot be edited. The app says Form templates can be renamed or deleted here; editing form questions is not supported yet.
Use a template while logging work
On the Client record tab, select Create new.
Choose Contact, Appointment, Note or Action.
Open Prefill from template and select the template. Choose No template if you do not want one.
Check the prefilled Title and Content, then change them for this record if needed.
Complete the rest of the record and select Save record.
A text template fills the content and, while you have not typed a different heading, its title. Selecting No template clears a heading that came from the template, but does not overwrite a heading you typed yourself.
The saved item is an ordinary record on the client's timeline. Joy confirms with Record added.
Delete a template
Select the bin control beside the template.
Check the warning under Delete template?
Select Delete.
The warning says the template will no longer be offered when adding records. Existing records are not affected.
Joy confirms with Template deleted. Records that were previously made from it stay on their client timelines.
