How to attach a document to a record, note or consultation

The same attachment control is used for records, notes and consultations. This guide covers the accepted files, upload limits, removal and the messages shown when a file cannot be attached.

Where to find Attach files

  • For a contact, appointment, note or action, open the client's Client record tab, select Create new, choose the record type and find Attachments.

  • For a note on the client's summary, select Add note and find the attachment control below Note.

  • For a consultation, find the attachment control in the bottom bar of the consultation form.

In each place, the button is labelled Attach files.

Limits and accepted files

The app shows this rule beside every attachment control:

PDF, Word, Excel, CSV, text or image files. Up to 25 MB in total across all files.

The accepted filename types are:

  • PDF: .pdf

  • Word: .doc and .docx

  • Excel and CSV: .xls, .xlsx and .csv

  • text: .txt and .rtf

  • images: .png, .jpg, .jpeg, .gif, .webp and .heic

One record or note can hold no more than 20 files. The 25 MB limit is the combined size of all its attachments, not an allowance for each file.

Attach a file

  1. Select Attach files.

  2. Choose one or more files from your device.

  3. Wait while the button reads Uploading....

  4. Check that each completed file appears with its filename and size.

  5. Finish the record, note or consultation and save it.

If several files are uploading and a later one fails, files that finished before the failure stay in the list. Check the list before trying again.

Remove a file

Before saving, select the x beside the file in the attachment list.

After saving a record or consultation, open the timeline item and use the remove control beside Attachments. Joy asks Remove "[filename]" from this record? Select the browser's confirmation to continue. Joy then confirms with File removed.

Saved attachments appear as filename-and-size links on the Client record timeline and under Attachments in the record detail. Selecting one downloads it rather than opening it inside Case Management.

For a summary note, the app warns: Files stay in Case Management: the note text still syncs to the client's Joy record, the documents do not.

If the app refuses a file

  • Attachments too large — the combined selection is above 25 MB. The detail gives the actual total and says Remove a file or attach a smaller one.

  • Too many files — the record would hold more than 20. The detail says You can attach up to 20 files. Remove some before adding more.

  • File type not accepted — the file is not one of the listed formats. The detail names the file and the accepted groups.

  • Your session has expired — you are no longer signed in. Sign in again, then re-attach the file.

  • You cannot attach files here — your account does not have permission to upload to this organisation.

  • File storage is unavailable — the file store did not respond. Nothing you typed is lost; try again in a minute and quote storage_unavailable to support if it continues.

  • Upload did not finish — the stored upload was incomplete, so the file was not attached. Try again; a large file or an unreliable connection can cause this.

  • Upload could not reach the file store — the browser could not contact storage. Check your connection and try again.

  • Could not attach file — another upload error occurred. The detail includes a reference such as an HTTP status or error code; give that reference to support.

The server checks the stored file again before accepting it. A file that appeared suitable on your device can therefore still be refused after upload if its real size or type breaks the rules.
