Using Case Management on a phone or tablet

Written by Sonja Gebhardt

Case Management works on a phone or tablet — for a home visit, a community session or a quick look between appointments. There is no app to install and nothing separate to set up: open the same web address in the phone's browser and sign in as usual.

What changes is the layout. Knowing what to expect saves you hunting for a control that has simply moved.

Signing in

Exactly as on a computer, including Microsoft sign-in and two-factor codes where your organisation uses them. If you use an authenticator app on the same phone, switch between the two apps as normal — the sign-in survives it.

What changes on a small screen

  • The sidebar becomes a drawer. The menu is behind the ☰ button at the top left. Tapping a link opens the page and closes the drawer.

  • Tables become cards. Lists that are a table on a computer — clients, records, services and the rest — become one card per row, with the values labelled. This is why a column you rely on may look missing: on a card, less important columns are left out to keep the card readable.

  • Toolbars collapse. The controls you use most stay on screen; the rest go behind a Filters & options button, which shows a count when filters are active.

  • The search box stays. Client search is in the header on every screen size.

A tablet held in landscape is usually wide enough to get the full desktop layout, tables included. A tablet in portrait behaves like a phone.

What a phone is good for, and what it is not

Good on a phone:

  • looking a client up and reading their record,

  • adding a note or a record after a visit,

  • sending a message, or replying to one,

  • checking your tasks and today's appointments.

Better left for a computer:

  • the Dashboard and its charts, which need width to be readable,

  • the Calendar week view,

  • long consultation forms and structured returns such as WorkWell,

  • anything where you are comparing rows across many columns.

Practical notes

  • You need a connection. Case Management is a website, not an offline app: with no signal, nothing loads and nothing queues up to send later. Write anything you cannot save into your notes app and copy it over when you have signal.

  • Attaching files works. The Attach file control opens your phone's camera roll or files, so a photo of a form can go on a record — mind what else is in the picture.

  • Do not stay signed in on a shared or personal device you would not want a colleague to pick up. Sign out from the account menu when you have finished.
