How to change a case's status

A case status shows where that piece of work has reached. This guide covers changing it from the client's case card or from inside the case, and what the change affects.

It does not cover recording a discharge outcome and its optional follow-up actions; see How to discharge a client.

Change the status from the case card

  1. In the Case Management sidebar, select Client cases.

  2. Open the client.

  3. Select the Cases tab.

  4. Find the correct case and select its coloured status badge, such as Active or Waiting.

  5. Select the new status.

For a status other than a discharge status, Joy applies the change immediately and confirms with Case status updated. There is no separate confirmation step.

If you select a discharge status, Joy opens the discharge workflow instead. Complete that workflow before the status changes.

If you are inside the case

  1. On the Cases tab, select View Case.

  2. Check the status badge in the case header.

  3. Select Back to Cases.

  4. Change the status from the case card.

The status badge inside the case is read-only today. There is no status picker in the case detail itself.

From the case card, you can also open the case actions menu, select Edit, and use Status. The editor excludes discharge choices for an open case and says Use the Discharge button to discharge. Select Save to apply an editor change.

Statuses offered by the status control

  • Active

  • Waiting

  • Discharged no show

  • Discharged other

  • Discharged successful

  • On hold

  • Pre triage

  • Declined other

  • Inactive

  • Declined service not accepting referrals

  • Declined inappropriate referral

  • Declined duplicate referral

  • Client declined

  • Discharged deceased

On the case card, the four discharge badges are written Discharged - no show, Discharged - other, Discharged - successful and Discharged - deceased.

Which statuses close a case

The four statuses beginning Discharged complete the case and add a Completed date:

  • Discharged - successful

  • Discharged - no show

  • Discharged - other

  • Discharged - deceased

Active, Waiting, On hold and Pre-triage count as active-case statuses. Joy uses the most recent case in one of those four states as the client's Active case.

Inactive and the declined statuses are not active-case statuses, but they are not discharge outcomes either.

What changes elsewhere

  • The status badge changes on the Cases tab and in the Status column on Client cases.

  • Status filters and any figures or reports that group cases by status use the new value after their data refreshes.

  • My cases is based on assignment, so changing status does not assign or unassign staff.

  • Joy recalculates which case carries Active case. Another recent Active, Waiting, On hold or Pre-triage case may become the active one.

  • A status change creates a Profile update record on that case's timeline, including who changed it.

  • Moving a case to a non-discharge status clears its case completion date and sets a new active-since date.

Changing a status does not delete the case, its records, tasks, services or messages.

Reopen a closed case

Select the discharged case's status badge and choose an open status, usually Active.

Joy confirms with Case status updated. The case completion date is cleared. If this becomes the client's active case, the client's discharge date is also cleared.

The previous discharge timeline record remains as history. Reopening does not undo messages, wellbeing requests, reviews or clinical filing that were already created during discharge.
