How to mark a task as done
Use My tasks to record what happened when you finish a task. Completion notes and time spent are optional, and a client-linked task can also be sent to the client’s clinical record.
Mark the task complete
In the Case Management sidebar, open My tasks.
Find the pending task you want to finish.
Select the green tick Mark complete action.
Review the task and client shown in the Complete task dialog.
Enter the relevant completion details:
Completion notes are optional. Record what was done or agreed, the outcome, and any follow-up that will help colleagues understand the completed work.
Time spent (minutes) is optional. If you enter it, use a whole number of zero or more minutes, such as
0,15, or60.Save to clinical record is optional and is shown only when the task is linked to a client. Turn it on if this completion should also be filed to the client’s clinical record.
Clinical system (optional) can be left as Use the client’s linked system. Change it only when the correct available clinical system is different.
SNOMED CT codes are optional. Search the catalogue by description or exact code after entering at least two characters. Select zero or more appropriate codes. If you select one by mistake, remove it before completing the task.
Select Complete task to confirm.
If the task is not linked to a client, it cannot be filed to a clinical record. Its completion notes and time spent are still retained with the task.
If you select Cancel, the task stays open and no completion is saved.
After completing
The task moves to Done.
The latest completion notes and time, together with the completing staff member and completion date, appear with the task. If no time was entered, it is shown as no time recorded.
For a client-linked task, the completion is added to the client’s records.
When Save to clinical record was selected, the clinical filing is queued separately. A queued record may first show as Sending to clinical record in progress.
Check clinical filing
Open the client’s Records tab and open the completion record. In the Clinical record section, check the status:
Sent means the record was sent to the practice device and is awaiting confirmation from SystmOne. Sent is not the same as Filed.
Filed means the clinical system has confirmed the filing.
Sending to clinical record in progress means the record is still being transmitted.
Sending failed means the transmission did not complete.
For a pending or failed transmission, select Retry in the record’s Clinical record section to queue it again. Do not describe a record as filed until the status is Filed.
