Understanding the Calendar

This guide explains what the Calendar shows, how to move around it, and how to recognise the different kinds of event.

It does not cover filling in a booking or changing an existing appointment. See How to create a client appointment and How to reschedule, cancel or delete an appointment for those steps.

Choose a view and date

  • Month shows each day as a cell. Up to four events appear in a cell; select +2 more, for example, to reveal the rest, then Show less to collapse them.

  • Week is the default view. It shows one time column for each working day.

  • Day shows one day's timetable.

  • Use the left and right arrow buttons to move by one month, week or day, according to the view you chose.

  • Select Today to return to the current date.

  • The date or date range beside the view buttons tells you which period is on screen.

The working days shown come from the organisation's settings. When you choose one person from All staff, that person's own settings are used if they have them.

Filter what you see

The All staff list shows events across the organisation. Choose a staff member to narrow the calendar to that person.

The coloured status chips filter client bookings in the period on screen. Select a chip to hide that status and select it again to restore it. A number on a chip is the number of bookings with that status in the current period.

  • Blue Scheduled — a future booking with no attendance outcome yet.

  • Green Attended — attendance has been recorded.

  • Orange Incomplete — the booking has ended without attendance being recorded.

  • Amber No show — staff have recorded that the client did not attend.

  • Rose Cancelled — cancelled by staff or the client. Its text is crossed through.

Non-client entries and clinical-system slots remain visible when you change these status filters.

Recognise calendar items

  • A client booking uses the appointment title, service name, or Booking when neither was entered. Its colour follows the status list above.

  • A non-client entry is slate grey. It shows its category and title, for example Meeting · Team catch-up.

  • An imported clinical-system slot is pale purple and is labelled SystmOne appointment. It cannot be opened from this calendar.

  • All-day entries sit beneath the day heading rather than in an hourly row.

Select a client booking or non-client entry to open it. Selecting an empty half-hour space in Week or Day opens New booking with that date and time filled in.

Reveal early and late hours

The timed grid starts at 07:00 and ends at 18:00.

  • Select Show 00:00 to 07:00 to reveal earlier hours.

  • Select Show 18:00 to 24:00 to reveal later hours.

  • If a hidden period contains events, the control includes the number, for example Show 00:00 to 07:00 (1 event).

  • The wording changes to Hide 00:00 to 07:00 or Hide 18:00 to 24:00 while those rows are open.

Use the controls at the top

  • Locations opens Calendar locations, where places used by appointments and entries are maintained.

  • Working hours sets the organisation default or a particular staff member's days, hours and Default appointment length (minutes).

  • Entry opens New entry for meetings, leave, admin and other time without a client.

  • New booking opens the client appointment form.

What changes on a phone

On a phone, Month and Week become a chronological agenda rather than a narrow grid. Only days with events are listed. If there are none, the app says No events in this period.

The status chips and staff choice move into the collapsible filter area. Day keeps the timed grid.
