This guide explains what a client can be sent for an appointment, how to change or cancel a scheduled reminder, and how to check its outcome.
It does not cover creating or rescheduling the appointment itself. See How to create a client appointment and How to reschedule, cancel or delete an appointment.
What a confirmation contains
A confirmation is optional. When you add one in New booking, it is sent when the booking is saved.
If you leave the message on Standard confirmation, it includes:
Appointment booked.
the appointment title;
Date, Time and Location;
the sender's name and organisation.
You can send it by Text message, Email or, if your organisation has WhatsApp switched on, WhatsApp. For text or WhatsApp, choose a phone number held on the client's record. Email uses the client's email address.
The booking can save even if this message fails. In that case Joy says Booking created, but some messages failed and directs you to the booking's Confirmation tab.
Send or resend a confirmation
Open the booking on the Calendar.
Select Confirmation.
Choose SMS, Email or WhatsApp, where available.
Choose Template (optional), or leave Default confirmation selected.
Optionally enter a Custom message (optional) and choose whether to Include a reply link so the client can respond. WhatsApp always includes one.
Select Send confirmation.
The booking shows Confirmed after the confirmation attempt has been recorded. This badge is not proof of delivery. The toast describes what the provider actually proved and may report a failure, an acceptance or confirmed delivery.
What a reminder contains
Reminders are optional and are sent at the scheduled time in the background.
The standard reminder says This is a reminder of your upcoming appointment: followed by the appointment date and time. You can use saved template wording or write a different message.
In New booking, Add reminder offers 3 hours before, 1 day before and up to 7 days before, where that send time is still in the future, plus Custom time....
Reminders can use text, email or WhatsApp when enabled. You can add more than one reminder and choose a different time or channel for each.
Change a scheduled reminder
Open the booking and select Reminders.
Find the reminder marked scheduled.
Select its pencil button.
Change Channel, Send at and, for SMS or WhatsApp, the destination number.
Select Save changes.
Joy confirms with Reminder updated. Only reminders still marked scheduled can be changed.
The inline editor does not change the saved message wording or template. If those need to change, cancel this reminder and schedule a new one below it.
Switch off or replace a reminder
On the Reminders tab, find the reminder marked scheduled.
Select its bin button.
This changes the reminder to cancelled so it will not be sent. There is no separate on/off switch. To replace it, use the form below the list and select Schedule reminder; Joy confirms with Reminder scheduled.
Cancelling or deleting the appointment, or recording No show, also cancels reminders that are still scheduled.
Check whether it went
The Reminders tab shows each reminder's channel, scheduled date and time, and status:
scheduled — waiting for its send time;
sent — the provider accepted the send; this is not necessarily proof of delivery;
failed — the send failed, with the failure reason shown underneath;
cancelled — it will not be sent.
The reminder is also recorded as a contact in the client's outreach history. Use that record for the provider's more detailed delivery evidence. When it matters that the client received it, look for confirmed delivery or follow up another way.
