This guide covers using the staff picker, opening another person's events, and making a booking on their behalf.
It does not cover every field in the booking form or the meaning of the calendar colours. See How to create a client appointment and Understanding the Calendar.
View a colleague's calendar
In the Case Management sidebar, select Calendar.
Open All staff.
Choose your colleague's name.
The calendar now shows bookings, entries and imported clinical-system slots belonging to that staff member. Their working-day settings control which days appear.
Choose All staff again to return to the organisation-wide view.
The picker lists active Case Management staff. It does not list suspended accounts or accounts that can only sign in through JoyConnect.
What you can see
You can use Month, Week and Day, move between dates and use all five status filters in the same way as on your own calendar.
Normal caseload privacy still applies. A booking linked to a hidden client or hidden case does not appear unless you are allowed to see it. Selecting a colleague therefore does not give you access to client information you could not otherwise open.
Imported SystmOne appointment slots show their time on the colleague's diary, but cannot be opened from the calendar.
Edit a colleague's event
If a booking is visible to you, you can select it and use the same controls as on your own calendar:
record an outcome on Attendance;
move it on Reschedule;
use Create next;
send a Confirmation;
file a Note;
manage Reminders;
use the Appointment actions menu;
select Delete booking.
You can also select a visible non-client entry to change its Category or delete it.
These actions are not presented as Owner- or Admin-only in the calendar. Be careful to agree local working arrangements before changing another person's diary.
The Reschedule tab changes the time but does not offer a different staff member, so it cannot transfer an existing booking to another colleague from this screen.
Book on behalf of a colleague
Select New booking, or select an empty half-hour space on the calendar.
In Staff member, choose the colleague.
Complete the client, case, date, time and other booking details.
Select Create booking.
The signed-in person is selected in Staff member by default, even when the calendar is currently filtered to a colleague. Check this field before saving.
The availability picker uses the colleague's working hours and existing events. After saving, the booking appears on their calendar. Any confirmation is sent to the client, while the booking itself belongs to the selected staff member's diary.
For non-client time, select Entry and choose the colleague under Staff member before selecting Create entry.
