How to check whether you or a colleague is connected to the clinical system

This guide covers the personal Clinical Systems Login screen for EMIS, including its status symbols and how to save and check new credentials.

Check your own EMIS connection

  1. Select your name and organisation at the top right of Case Management.

  2. Select Edit clinical system login.

  3. The dialog title shows your name followed by - Clinical Systems Login.

  4. Look at the symbol on the right of each EMIS row.

The row label uses the EMIS organisation identifier followed by - EMIS. If you belong to more than one organisation, this dialog can show the EMIS systems across those memberships; the organisation name appears under each row.

The symbols mean:

  • Connected — a green tick. Joy's last EMIS connection check accepted the saved credentials.

  • Failed — a red cross. The last check failed.

  • Pending — a clock. The credentials are waiting to be checked or could not be checked.

  • no symbol — no personal credentials have been saved for that EMIS system.

If no EMIS system has been set up, the dialog says No EMIS clinical systems are set up for your organisations yet.

What an expired connection looks like

The screen does not have a separate Expired status. Credentials that EMIS no longer accepts appear as Failed, with a red cross, after a connection check.

The row does not display the old password or a specific expiry date. Passwords are write-only and are never loaded back into the dialog.

Reconnect to EMIS

  1. Select the EMIS row you need.

  2. Under Login Details, enter your Username.

  3. Enter your current Password.

  4. If you use a separate account for appointment imports, enter it under EMIS calendar credentials in Calendar username. This field is optional.

  5. Select Save.

The button reads Checking connection... while Joy saves the details and checks them with EMIS.

If EMIS accepts them, Joy shows EMIS connection verified and Credentials saved and connected. The row becomes Connected.

If EMIS rejects them, Joy shows EMIS connection failed with the returned reason, or EMIS rejected the credentials. The row becomes Failed.

If the connection cannot be checked, Joy shows Credentials saved with the reason or Connection pending. The row remains Pending. This is not confirmation that the login works.

Check or reconnect a colleague

Owners and Admins can open the same dialog for another user in their organisation:

  1. In the sidebar, select My organisation.

  2. Find the colleague in the users list and open their actions menu.

  3. Select Edit clinical system login.

  4. Check the symbol beside the EMIS row.

  5. To reconnect it, enter the colleague's current Username and Password, then select Save.

Only enter credentials with the colleague's agreement and according to your organisation's access policy. A standard User cannot manage another person's clinical login; the server reports Admin rights required.

SystmOne connections

The personal Clinical Systems Login dialog lists EMIS systems only. It does not show a per-person connected or expired status for SystmOne.

Owners and Admins manage a person's SystmOne username (case sensitive) from My organisation by editing that user. The screen explains Shown as the author on notes filed back to SystmOne. This is an author name, not a connection test.

The organisation's SystmOne system and JoyConnect device are shown separately on the Systems tab under Clinical systems. Ask an Owner or Admin to check those when a SystmOne item is failing.
