How to refer a client to a service

Refer a client from their Case Management profile, choose a suitable service, complete its form, and check the referral was recorded.

Use this guide when you are referring a client from their own Case Management profile. This is different from browsing the main Services directory: the client-level journey keeps the referral connected to that client’s record.

Refer a client

  1. In the Case Management sidebar, open Client cases.

  2. Open the relevant client.

  3. Select the client’s Services tab.

  4. Select Refer.

  5. Choose how to find the service:

    • All added services searches services already added to the shared directory. Use the service search box or All categories filter to narrow the list.

    • Marketplace helps you find services that may suit this client. You can search and filter by category here too. Where the client’s postcode can be located, you can also use the distance filter to show nearby services.

  6. Select the service you want to refer to. If it is already linked to an active referral, it is marked Already referred.

  7. Review the prefilled referrer and client information, and correct anything that needs updating for this referral.

  8. Complete the service’s referral form. Answer every service-specific question marked with an asterisk (*).

  9. Use Notes (optional) only when extra context will help the receiving service.

  10. Select Refer to [service name].

If the client has already been referred

Already referred means the client already has an active referral to that service. If you still need to make another referral, continue and select Refer anyway when the warning appears. Check first that a further referral is genuinely needed.

Check that the referral was recorded

When the referral is successful, you will see Referral made. The service is added to the client’s Services list with the status Awaiting response, and the referral is recorded in the client timeline.

If Marketplace distances are unavailable

Local Marketplace matching needs a valid client postcode on the Profile tab. Add or correct the postcode there, then try again. National or digital services can still be shown when a distance is unavailable.
