Setting up the S1 calendar integration (within the CMS)
Go to the Joy Case Management System
Go to the 'Calendar' tab π
βClick on 'Settings' π

4. Click on the S1 toggle π to turn it on

5. Ensure the usernames entered are correct βοΈ

6. You have now activated your S1 calendar for Joy! π
How do I prepare my S1 appointment book?
To use the calendar integration each staff member who will be booking appointments in Joy needs to have sessions and slots configured inside the clinical system. If the user works across multiple sites with separate clinical systems, an appointment book needs to be set up for each practice.
Go to your S1 appointment ledger π
βRight-click on the slots under your name π
βClick Create rota π
βFill in the information required βοΈ
βClick Create π

Importing appointments from S1 to Joy
Ensure the set-up detailed above has been completed. To import appointments from EMIS to Joy, simply click on the βImport all Appointmentsβ button.
Part 1: Book appointments on S1
βGo to your S1 appointment ledger
βDouble click ππ on a slot
βSelect a client π
βFill in the appointment details βοΈ
βClick Ok π

Part 2: Import appointments to Joy If the set-up above has been completed, the appointments booked on S1 will be added to the Joy calendar every hour.
Sending appointments from Joy to S1
After setting up both the Joy calendar and the S1 appointment book, Joy will communicate with S1 every 30 minutes to get the available slots in your S1 appointment book for the next 5 days. Once the Joy system knows which available slots are in your S1 appointment book, you will be able to send Joy appointments to Systmone.
Part 1: Book the appointment on Joy (Option A - Calendar)
Go to the Joy Case Management System
βGo to the Calendar π
βClick Create π (client appointment)
βSelect a client π - the client must exist in S1, have the correct details stored, and be connected to an S1 integration
βSelect a date, start time and end time that coincides with your slots on S1
βEnsure the Add to GP appointment book tickbox is ticked
βClick Save β

Part 1: Book the appointment on Joy (Option B - Client record)
Go to the Joy Case Management System
βFind a client - the client must exist in S1, have the correct details stored, and be connected to an S1 integration
βGo to their Client record π
βClick Create (appointment) π
βSelect a date, start time and end time that coincides with your slots on S1
βClick Save β

Part 2: Send the appointment to S1
To send an appointment booked on Joy to the S1 appointment book, simply mark the appointment as Attended or No Show. If the Add to GP appointment book tickbox was ticked, and the client exists in S1, the appointment will be automatically sent to the S1 appointment book.
The status will show in the appointment sidebar under the Details section.

If the appointment was marked as Attended on Joy, the appointment on S1 will show as βattendedβ.
If the appointment was marked as No Show on Joy, the appointment on S1 will show as βany showβ
Part 3: Import appointments to Systmone
Upon sending successfully to the S1 appointment book, the appointment will show in the respective slot on the ap pointment ledger for the staff member who booked the appointment. π

Error handling
β Error messages: There may be cases where appointments created on Joy cannot be sent back to S1.

If an appointment is unable to send to the S1 appointment book upon marking as Attended or No Show, an error message will show under the Details section of the appointment sidebar.
The reasons for an error message include:
No clinical record found
No NHS number on client profile
Patient not found
Appointment exceeds slot length
Slot already booked
No sessions found
No slot available
If an appointment has been saved but was not successfully sent to S1, the client record associated with the appointment will show the status and the error messages in the version history.
