This guide explains what the data in the Fileback Statistics tab means. It shows all your failed and successful notes that have filed back and the reasons why this is.

File Back Statistics Tab

Where to Find It

  1. Open the Case Management System

  2. Navigate to Clinical Systems

  3. Select the tab titled File Back Statistics

This tab provides a structured overview of your file back activity, including both successful and failed attempts.


What the File Back Statistics Tab Shows

When you open the tab, you will always see four columns displayed.

1. Metric

This column explains what is being measured.

It includes:

  • Successful file backs

  • All recorded reasons for failed file backs

Each row represents a specific outcome or failure reason. This allows you to quickly identify trends or recurring issues.


2. All Time

This column shows:

  • All successful file backs

  • All failed file backs

  • All failure reasons recorded

The data includes everything from the date you started using Joy up to the present day.

This provides:

  • A cumulative performance overview

  • A long-term picture of activity and trends

  • Insight into recurring issues over time


3. Yesterday

This column shows:

  • All file back attempts made yesterday

  • Both successful and failed outcomes

  • Associated failure reasons

This allows you to:

  • Review daily performance

  • Identify issues from the previous working day

  • Follow up on unresolved failures


4. Today

This column displays:

  • All file back activity from today

  • Both successful and failed attempts

  • Live updates throughout the day

This is a real-time view. As file backs are attempted, the numbers update automatically.

This allows you to:

  • Monitor current performance

  • Identify issues as they happen

  • Take immediate corrective action if needed


Where the Data Comes From

The data shown in this tab is generated from:

  • File back attempts made within the Clinical Systems workflow

  • System-recorded outcomes (success or failure)

  • Logged error codes or failure reasons

Each time a file back is attempted, the system records:

  • The outcome

  • The associated reason (if unsuccessful)

  • The timestamp

These records are then aggregated into:

  • All Time totals

  • Yesterday’s totals

  • Today’s live totals


What This Means for Users

The File Back Statistics tab helps you:

  • Monitor file back performance

  • Identify recurring technical or process issues

  • Track daily productivity

  • Escalate recurring failures appropriately

  • Improve accuracy and workflow efficiency

In short, this tab acts as your file back dashboard, giving you both a long-term view and a live operational snapshot.
