How to record a wellbeing tracker in person

Use this when you are with the client — face to face or on the phone — and you are going through the questionnaire together. Nothing is sent to the client; you type the answers straight in.

Record the tracker

  1. In the Case Management sidebar, open Client cases.

  2. Open the relevant client.

  3. Select the client's Wellbeing tab.

  4. On the Wellbeing trackers card, select New tracker.

  5. The New wellbeing tracker dialog opens: "Record a baseline in person, or send it for the client to complete."

  6. Under Framework, choose the questionnaire you are using.

  7. Leave How to complete set to In person.

  8. Answer the questions with the client (see below for what you will see).

  9. Select Record.

You will see Tracker recorded, and the tracker appears on the tab as a new block for that framework, marked Baseline, Completed, In person, with its score.

What the questions look like

Frameworks come in two shapes, and the dialog shows whichever one applies.

  • Question frameworks show one row of options per question — the framework's own scale. Some scales are plain numbers; others are worded, for example "Disagree strongly" through to "Agree strongly". Select one option per question.

  • Numeric frameworks show a number box per measurement, with the unit in the label, for example Weight (kg). Where the framework has a calculator set up, a link to it appears under the boxes; select it to open the calculator in a new tab, then type the result back in.

Notes and things that can stop you

  • If the framework has nothing to fill in, the dialog tells you so: This framework has no defined questions; send it to complete instead. for a question framework, or This framework has no defined fields; send it to complete instead. for a numeric one. Either pick a different framework, or ask whoever manages your organisation's frameworks in My Organisation to finish setting that one up.

  • If your organisation has no wellbeing frameworks switched on at all, the Framework list is empty and Record stays greyed out. Frameworks are enabled in My Organisation.

  • You do not have to fill in every question before selecting Record, but a part-finished questionnaire will score lower than the client's real answer, so complete it properly.

  • There is no notes field and no time-spent field on a wellbeing tracker, and a completed tracker cannot be edited afterwards. If you record the wrong thing, delete the row with the bin icon and record it again.
