This guide explains what Lists are, how to create and find them, and what you can see when you open one.
It does not cover adding or removing clients, tagging, or creating records for a whole list. See How to add clients to a list, How tags work on a list and its clients and How to create records for everyone on a list.
When Lists is available
Lists only appears in the Case Management sidebar when your organisation has the lists feature switched on.
A list groups client cases together for a piece of work, such as a wellbeing round or a group of people who need follow-up. A list does not merge the clients or change their case statuses.
Find a list
In the Case Management sidebar, select Lists.
Choose one of the three tabs: - My lists — active lists where you are named as an owner. - All lists — all active lists in your organisation. - Archived — lists that have been put away.
Use Search lists to search by list title.
Use Sort to order the results by Created, Updated, Title or Clients, in ascending or descending order.
Select a list name to open it.
Each row shows List Name, Last Updated, Date Created, Entries and Owners. Entries is the number of distinct clients on the list.
Create a list
Select New list.
Enter a Title. The example in the box is e.g. Winter wellbeing group.
Add a Description (optional) if it will help colleagues understand the list.
Under Owners, choose the staff who should find it under My lists. A new list starts with you as an owner, but you can change the selection or leave it with No owners.
Select Create list.
The button reads Saving... while Joy saves. When it succeeds, Joy shows List created and the list appears on the active lists screen.
If it cannot be saved, Joy shows Could not save list followed by the validation or error message.
What a list page contains
At the top you see the list title, its description, Owners and any tags attached to the list.
The page also has:
Edit — change the title, description or owners;
Bulk email — send an email to list members who have an email address;
Create bulk records — create the same record for the list's members;
Add case — search for client cases and add them;
a member count, All statuses and All staff filters where there is more than one available option;
a count such as 1 without email when a member has no email address;
one row per visible client, with referral and action dates, status, staff member, record type and an Options menu.
If there are no members, the page says No clients in this list yet. If filters hide every member, it says No members match the current filters.
Who can see a list
Everyone in the same organisation who has access to Lists can find active lists under All lists. Being an owner controls whether a list appears under My lists; it is not a privacy setting.
Normal client and case privacy still applies. A hidden client, or a hidden case you are not allowed to see, is left out of the member rows. Organisation Owners can see hidden work.
Archive or restore a list
Use the archive control at the right of a list row to move that list to Archived. To archive several lists, tick their boxes, select Archive selected (number), then select Archive in the confirmation.
The confirmation explains: The selected lists move to the Archived tab. You can restore them from there at any time. Joy then shows Archived 1 list or the matching number.
Open Archived and use the restore control to make a list active again.
There is no control to delete a list permanently in the current app. Archive it instead.
