Use this guide to find the right list and keep the lists you use most at the top of the screen.
When Lists is available
Lists only appears in the Case Management sidebar when your organisation has the lists feature switched on.
A list groups client cases for a piece of work. It does not merge clients or change their case statuses.
Choose which lists to see
In the Case Management sidebar, select Lists.
Choose one of the three tabs: - My lists — active lists where you are named as an owner. - All lists — all active lists in your organisation. - Archived — lists that have been put away.
Use Search lists to search by list title.
Use Filters to narrow the results: - Owner — show only lists owned by the staff members you pick (you can pick more than one). - Status — show only Active or only Archived lists, whichever tab you are on; picking both shows everything. Select Apply to use your choices or Reset to clear them. The Filters button shows how many filters are active, and your choices stay in place when you open a list and come back.
Select a list name to open it.
Each row shows List Name, Last Updated, Date Created, Entries and Owners. Entries is the number of distinct clients on the list.
Sort the results
Select Sort.
Choose Created, Updated, Title or Clients.
Select the arrow beside the sort name to switch between ascending and descending order.
Pinned lists remain above unpinned lists. The chosen sort applies inside each group.
Pin a list
If you use some lists all the time, pin them so they always appear at the top.
On My lists or All lists, select the pin control at the right of a list row (its tooltip reads Pin list).
The list moves to the top of both My lists and All lists, shows a Pinned marker next to its name, and stays there when you reload the page or sign in again.
To unpin, select the same control again (Unpin list).
Pins are personal: your pinned selection is saved for you only, and colleagues keep their own independent pins and ordering. Pinning does not change who owns a list, who can see it, or its members.
Within your pinned group, and among unpinned lists, the usual Sort choice and Search lists still apply.
Archived lists cannot be pinned and never appear as pinned items on the Archived tab. If you archive a pinned list it simply leaves the active tabs; restoring it brings it back with your pin still in place.
Who can see a list
Everyone in the same organisation who has access to Lists can find active lists under All lists. Being an owner controls whether a list appears under My lists; it is not a privacy setting.
Normal client and case privacy still applies. A hidden client, or a hidden case you are not allowed to see, is left out of the member rows. Organisation Owners can see hidden work.
