How to download a report

This guide covers creating and downloading reports from the Dashboard, using its current date range and filters.

It does not explain what each dashboard number means; see The Dashboard: an overview, date ranges and filters for that.

Create a report from the Download menu

  1. Open Dashboard.

  2. Choose the date range and select Filter to apply any filters you need.

  3. Select Download.

  4. Under Create new report, choose a report.

The menu always offers:

  • Raw Data (Excel);

  • Dashboard Summary (Excel);

  • Organisation tab (CSV);

  • Outcomes tab (CSV); and

  • Services tab (CSV).

It also offers MYCaW data (Excel) when MYCaW is enabled for your organisation, and Services raw data (Excel) while you are on the Services tab.

Organisations with the relevant programme switched on also see WorkWell Identifier (CSV), Participant Level Data (CSV), Participant Level Data Sheet 2 (CSV), Youth Guarantee Participant Data (CSV), Youth Guarantee Demographic Data (CSV) and Youth Guarantee Personal Data (CSV).

CSV choices download directly. Excel choices are built in the background.

Wait for an Excel report

After selecting an Excel report, the app confirms Report queued and says Your report is being built and will appear in this menu and the Reports tab shortly.

While any report is pending, the menu shows A report is being built… and checks about every three seconds. You can leave the menu and continue working.

Completed reports created today appear under Latest reports. Select the file name to download it. The menu says Existing reports are available to download until the end of the day.

The Reports tab also lists background reports and shows Building, Failed or Download. It keeps the latest 50 reports for the organisation in its list; unlike the menu, it does not display a promised expiry time.

Create a standard report from the Reports tab

  1. Select the Reports dashboard tab.

  2. Choose Clients, Activity (12 months), Referrals (12 months), Services or Appointments (12 months).

  3. Select Generate.

  4. Wait for Building to become Download.

Reports made this way use the period named in the choice or report title. The shared Download menu is the route to use when your current dashboard date range and filters must be applied.

If a report fails or takes a long time

  1. Leave the Reports tab open for a short while; pending reports refresh about every three seconds.

  2. Reload the page if Building does not change.

  3. If the row says Failed, read the error text beside its creation time.

  4. Check the date range and filters, then create a new report. There is no separate retry button on a failed row.

  5. If a new report also fails or remains on Building, select Help & Support and include the report title, creation time and error wording.

If the menu says No reports available. To download your data please create a new report below., no completed report from today is available there.
