How do I manage appointment statuses?

Here you can see how to manage appointments, marking them as attended, no show, or cancelled.

πŸ“Œ Note: Managing an appointment status looks a little different depending on the status of the appointment. Here you can find how to manage the appointment if the appointment is either scheduled or incomplete.

How to mark an appointment status

If it is a: Scheduled appointment

An appointment is considered β€˜scheduled’ if it is upcoming

  1. Click on the scheduled appointment πŸ“… you would like to update (You can do this in the client record or on the calendar)

  2. In the top right-hand corner select the β€˜β€¦β€™ button πŸ‘‡

  3. Select how you would like to update the appointment Calendar (as attended, no show, or cancelled by client

4. This will update the appointment from within the calendar

5. You have updated your appointment from within the calendar! πŸŽ‰

You can also edit it from within the Client record:

  1. Find the appointment πŸ“… you scheduled

  2. You then need to select the status and you can change it from the default to any of the statuses listed on the drop down menu
    ​

  3. Once you select an update, a page will pop up for you to add any notes (as below) ✍️

  4. Select β€˜Save’ βœ…

  5. You have updated the status of your appointment! πŸŽ‰


If it is an: Incomplete appointment

An appointment is considered incomplete if the appointment time has passed and the status has not yet been updated

  1. Click on the incomplete (yellow⚠️) appointment you would like to update

  2. Select one of the three options on the right to update the status of the appointment

βœ… Mark the appointment as attended

🚫 Mark the appointment as a no show

πŸ‘€ Mark the appointment as cancelled by client

3. Once you select an update, a page will pop up for you to add any notes ✍️ about the appointment

Follow-up actions after marking the appointment

Changing the appointment status

  1. Select the appointment πŸ“… you would like to change the status for

  2. Click on the β€˜β€¦β€™ button πŸ‘‡ in the top right-hand corner

  3. Select the updated appointment status πŸ‘‡

  4. Select β€˜Save’ βœ…

  5. You have updated the appointment status! πŸŽ‰


Rescheduling a cancelled or no-show appointment

  1. To reschedule an appointment, the appointment must be marked either as a no-show or cancelled

  2. Once the appointment has either been marked as a no-show or cancelled, select the appointment

  3. The sidebar will pop up and you can select the calendar icon πŸ“…

  4. Select a new time for the appointment ⏰

  6. You have rescheduled the appointment! πŸŽ‰


Deleting a cancelled or no-show appointment

πŸ“ŒNote: If you delete an appointment, the notes and information attached to it will also be deleted!

  1. To delete an appointment, the appointment must be marked either as a no-show or cancelled

  2. Once the appointment has either been marked as a no-show or cancelled, select the appointment πŸ‘‡

  3. The sidebar will pop up and you can select the bin iconπŸ—‘οΈ

  4. Select β€˜Yes, delete’ βœ… to confirm

  5. You have deleted the appointment! πŸŽ‰


Creating a follow-up appointment

  1. To create a follow-up appointment, the appointment must be marked as attended (see above)

  2. Once the appointment has been marked as attended, select the appointment πŸ‘‡

  3. The sidebar will pop up and you can select the calendar icon πŸ“…

  4. Search for the client πŸ” you would like to make an appointment with and fill the β€˜Title’ and β€˜Date’ of the appointment

  5. If you would like to add any notes about the appointment, scroll down and select the blue β€˜+’ next to β€˜Notes’

  6. Scroll down and type your note ✍️

  7. When finished, select β€˜Save’ βœ… in the top right-hand corner

  8. You have created a follow-up appointment! πŸŽ‰
