How do I Add/suspend/delete user in the Joy case management system?

Here’s how to add, suspend, and delete users in your Joy Case Management system to manage the users in your organisaton.

On the left-hand side of the screen, click on 'My Organisation' in the main menu. This will open a tab titled "Users" with your organisation's name at the top. From here you can add a new user, suspend, and delete members of your organisation.

Add a New User

If you have someone new joining your organisation you can add them through the case management software.

  1. Click the 'New User' πŸ‘‡ button at the top-right of the screen
    ​

  2. Fill out the user’s details ✍️ in the form that appears
    ​

  3. Click 'Save' βœ…
    ​

  4. This will send an email from [email protected] to the user with instructions on how to log in and set their password πŸ“§ (seen below)
    ​

  5. You have now created a new user!


Suspend a User

If a user has left your organisation and should no longer have access, it’s best to suspend their account.

Method One (Multiple Users):

  1. Go to the 'My organisation' tab
    ​

  2. Find the user πŸ” in the list
    ​

  3. Tick the box β˜‘οΈ next to their name (and then select it for any other users you would like to suspend)
    ​

  4. Scroll to the top, and click the 'Suspend' πŸ‘‡ button
    ​

  5. The user will no longer be able to log in, you have suspended their account!

Method Two (A single user):

1. Go to the 'My organisation' πŸ‘‡ tab

2. Find the user πŸ” in the list
​

3. Click on the 3 dots next πŸ‘‡ to the user's name on the right
​

4. Then select 'suspend user' πŸ‘‡ from the drop-down of options, this user will then have all their rights on Joy taken away unless you decide to un-suspend the user

5. If you would like to un-suspend the user, you simply follow these steps however you select the button which will say (instead of suspend user) 'Re-Activate User' πŸ‘‡

6. You have successfully suspended a user!


Delete a User

If you want to remove a user permanently.

  1. Find the user πŸ” in the list
    ​

  2. Tick the box β˜‘οΈ next to their name (and then select it for any other users you would like to delete)
    ​

  3. Scroll to the top and click the 'Delete' πŸ‘‡ button
    ​

  4. The user will no longer be able to log in and their account will be deleted
    ​

πŸ“Œ Note: Be cautious when deleting a user, as this could impact data or caseloads assigned to that staff member. It may be easier to suspend their account.
