How to respond to a referral within the Case Management Software

This article will walk you through how to accept and decline a referral within the case management software.

📖 Learning: The easiest way to respond to a referral is to check the 'Inbound Referrals' 📥 tab in your Joy CMS. Any new referrals from any of the linked GP practices will land there in the 'Awaiting Response' tab. This guide will show you how to respond to these referrals.

💡 Tip: Once these processes are done, the client will be moved to “Past referrals” (if they were declined) and your client list, or the client list of whomever they were assigned to (if they were accepted).


To accept a referral:

  1. Click on ‘Inbound Referrals’ 👇

  2. Click ‘Open’ 👇 on the far-right-hand side of the patient

  3. A pop-up will appear with their referral information and the details of the referrer, check these to ensure the referral is appropriate and then click 'Accept' 👇 at the bottom of the page

  4. It will then give you the option to connect to the clinical record, simply select the right practice from the drop-down menu (should it not already be selected) 👇, you can also change their client status (for example, place them on a waitlist), assign a staff member, and send a baseline questionnaire depending on your onboarding process

  5. You then press 'Save'

  6. Once accepted you will be given the option to either ‘View Profile' or ‘Add to the clinical record’ or 'Close', if you would like to send this action back to the clinical record click ‘Add to clinical record’ 👇

  7. Add the appropriate SNOMED code

  8. Press 'Send' ✍️

  9. You have accepted the referral! 🎉

If you wish to decline a referral:

This follows a fairly similar process to accepting the referral but won't place the client in anyone's list and will mark their referral as declined.

  1. Open the referral and click ‘Decline’ 👇

  2. This will open up a window to add a note in Joy about why you declined the referral, fill this out ✍️

  3. Click 'Save'

  4. You then have the option to send a note back to the patient's clinical record with the reason you declined the referral, if you would like to send this action back to the clinical record click ‘Add to clinical record’ 👇

  5. Select the appropriate clinical system

  6. Add the appropriate SNOMED code

  7. Press 'Send'

  8. You have now declined this referral.

📌 Note: this just adds a note onto the patient's medical record, it does not email or proactively notify the referrer.
