👋 Introduction

Welcome to the JoyCase Management System! This platform allows you to manage caseloads, document patient interactions, and track your team's progress efficiently. This guide provides an overview of the key functionalities of the system.


What can Joy help you do?

📥 1. Managing Referrals

  • Navigate to the Inbound Referrals tab on the left-hand side.

  • View all patient referrals across your practices in one centralised location.

  • If your organization accepts self-referrals or external referrals, they will also appear in this space.

🧑 2. Accessing Client Information

  • Click on the Clients tab to see the clients assigned to you.

  • To view clients assigned to other team members, select All Clients.

  • Click on a patient’s name to open their profile and access their details.

💬 3. Communicating with Clients

  • Within the patient profile, you can:

    • Send text messages.

    • Send emails to stay in contact with your client.

👀 4. Viewing Client Records

  • Access the Client Record to see:

    • Background information on the patient's case.

    • A history of previous interactions.

    • Any upcoming appointments (e.g., an appointment scheduled for October 3rd).

  • Click on past notes to review previously documented information.

📋 5. Documenting and Sending Clinical Notes

  • Hover over Create and select Note to begin documentation.

  • Choose a relevant template.

  • Modify the date and time if needed for retrospective documentation.

  • Submit the note to the clinical record.

  • Optionally, add SNOMED codes before finalizing the submission.

  • The note will then be recorded in System 1 (Journal Tab) or EMIS (Consultation Tab).

❤️ 6. Tracking Patient Well-being

  • Navigate to the Well-being tab to assess service impact.

  • View personal well-being scores (ONS-4 scale) recorded over time.

  • Compare baseline and follow-up scores.

  • Conduct a follow-up assessment immediately or send it via email or text.

📩 7. Managing Referrals to Services

  • Open the Services tab to view previously recommended services.

  • Click Make a Referral to find additional services within the Joy Marketplace.

  • Filter available services by:

    • Distance (nearest to farthest).

    • Category type (listed on the left-hand side).

👋 8. Discharging a Client

  • Open the Client Profile tab.

  • Edit the client’s status to Discharged Successfully.

  • Add relevant information to the clinical record to confirm the discharge.

  • Save the update to complete the discharge process.
